Delivery Checklist

At BayWa r.e. Solar Systems LLC, we work hard to ensure your order arrives on time, complete, and damage-free. However, issues can sometimes occur during transit. Following this checklist will help protect your order and ensure quick resolution if something goes wrong.
Please note that if no one is on-site to inspect and note damages or losses, the customer is assuming liability.

What To Do When Your Order Arrives

  • Inspect your shipment before signing the delivery receipt.
  • Note any damage or shortages on the delivery receipt immediately.
    • If damage or shortages are not noted, we cannot file a claim with the carrier on your behalf.
    • Signing without exceptions means you accept the materials “as is,” including any damage or missing items.

Best Practices

  • Take photos of pallets as they are unloaded from the truck.
  • Check for visible damage or missing items:
    • Panels
      • Missing panels?
      • Damaged pallet feet?
      • Visible dents, punctures, or broken glass?
      • Missing or broken corner clips?
      • If damage is found:
        • Note it on the delivery receipt before signing.
        • Take photos of each damaged panel and its serial number.
    • Rails
      • Missing rails?
      • Bent or damaged ends?
      • Torn wrapping?
      • If damage is found:
        • Note it on the delivery receipt before signing.
        • Take photos of damaged rails.
    • Other Equipment
      • Compare packing slip to actual items.
      • Verify quantities and item numbers.
      • For multiple shipments:
        • Check tracking numbers against your confirmation email.
        • For FedEx Ground with multiple packages, verify all tracking numbers online or contact us for assistance.

How to file a claim with Baywa r.e. Solar Systems

  • Mark the delivery receipt as "damaged" or “short” while the driver is present.
  • If you can’t inspect immediately, write “concealed damage” on the receipt.
  • Take photos of all damaged items and their serial numbers.
